Air Conditioning Commissioning Record (BS EN 378 / Manufacturer)

An air conditioning commissioning record captures that a split or multi-split system has been installed, charged and set to work correctly on completion. It records the indoor and outdoor units fitted, the refrigerant type and charge, and the readings taken to prove the system is running as it should before you hand it over.

Commissioning follows the manufacturer's instructions and the good-practice principles of BS EN 378. This is where the system is pressure tested, evacuated, weighed in or checked, and run up so that operating pressures, temperatures, superheat and subcooling can be measured and compared against expected values.

TradePlanr lets you complete the commissioning record on your phone or tablet at the property, log every reading against the units installed, capture the customer's acceptance and your declaration, and produce a signed PDF on site for the customer and the manufacturer's warranty registration.

What it covers

  • The property address and client or responsible person details
  • Make, model and serial numbers of both the indoor and outdoor units
  • The refrigerant type and the total charge, including any additional charge for pipe run length
  • Pressure (strength and tightness) test and evacuation readings
  • Operating pressures and temperatures with the system running
  • Measured superheat and subcooling values
  • Electrical checks, including supply, isolation and running current
  • Condensate drain test to confirm the discharge is clear and running away
  • Engineer declaration, commissioning date and signature, plus the customer's acceptance

When it's required

A commissioning record is completed on handover of a new split or multi-split air conditioning installation, once the system has been installed, charged and run up. It is the point at which you demonstrate the system has been set to work correctly.

Manufacturers commonly require commissioning to be recorded to validate the product warranty, so a completed record protects both the customer's cover and your workmanship. Building owners and specifiers also expect a handover record on new installs.

Keeping the record on file gives a baseline of pressures, temperatures, superheat and subcooling that makes future servicing and fault-finding far quicker, and provides clear evidence the system performed correctly when it left your hands.

How to issue it in TradePlanr

  1. 1

    Enter site and equipment details

Record the property address, client details and the make, model and serial numbers of the indoor and outdoor units on the record.

  2. 2

Log the refrigerant charge and test readings

Capture the refrigerant type and total charge, your pressure test and evacuation readings, and the operating pressures, temperatures, superheat and subcooling with the system running.

  3. 3

    Complete electrical and drain checks

Record your electrical checks and the condensate drain test so the record shows the system is safe and discharging correctly.

  4. 4

Sign and issue the PDF on site

Add your declaration, capture the customer's signature and generate a signed PDF for the customer and warranty registration, with a copy stored against the job.

Frequently asked questions

What is an air conditioning commissioning record?

It is the handover document for a new split or multi-split installation. It records the units fitted, the refrigerant charge, and the pressure, evacuation, operating and electrical readings that prove the system was set to work correctly following the manufacturer's instructions and BS EN 378.

Why do I need to record superheat and subcooling?

Superheat and subcooling readings show whether the system is correctly charged and running efficiently. Recording them at commissioning gives you a baseline against the expected values and makes any future charge or performance issue much easier to diagnose.

Does commissioning affect the manufacturer's warranty?

Often, yes. Many manufacturers require the installation to be commissioned and recorded to validate the product warranty, so a completed commissioning record helps protect the customer's cover and evidences that the work was carried out correctly.

Is this the same as an F-Gas record?

No. The commissioning record proves the system was installed and set to work correctly. The F-Gas refrigerant handling record separately logs the refrigerant handled under the GB F-Gas Regulation. On a new install you will usually complete both.

Can I issue the commissioning PDF on site?

Yes. TradePlanr lets you log all the readings, capture the customer's signature and generate a branded PDF commissioning record on your phone or tablet before you leave the property.
