A clear commissioning and service record proves the install was done properly and protects the warranty. Here is what it should cover.

Whether you are commissioning a new split system or servicing an existing one, a proper record shows the checks you carried out, the readings you took and the condition you left the system in. It backs the manufacturer's warranty and gives the customer confidence.

The content is broadly consistent job to job, so a repeatable template — or a tool that captures the same fields every time — saves you rewriting it and makes sure nothing is missed.

What to include

  • Site, customer and engineer details, and the date
  • Unit make, model and serial numbers (indoor and outdoor)
  • Refrigerant type and charge, and any added or recovered
  • Pressure test and evacuation (vacuum) readings
  • Operating pressures, temperatures and superheat/subcooling
  • Electrical checks and condensate drain test
  • Filter, coil and fan condition (service)
  • Confirmation the system is left working correctly, and engineer signature

Commissioning vs service records

A commissioning record is completed when a new system is installed — it captures the evacuation, charge, and first-run readings that prove the install meets the manufacturer's requirements. A service record documents a routine maintenance visit on an existing system.

Both share the same core: the unit details, the refrigerant, the readings and the engineer's declaration that the system is safe and working. Keeping them in a consistent format makes warranty claims and future visits far easier.

Keep it with the F-Gas record

Any refrigerant added or recovered during commissioning or service must also be captured in the F-Gas record. Keeping the commissioning record, the F-Gas log and the invoice against the same job means the whole history of that system is in one place.

Do I need to commission an air conditioning install?

Yes. Commissioning proves the system was evacuated, charged and set up to the manufacturer's specification, which is normally a condition of the warranty. The commissioning record is your evidence.

What readings should an air con service record?

Typically the operating pressures and temperatures, superheat or subcooling, electrical checks, the condensate drain, and the condition of filters and coils — plus any refrigerant added or recovered, which also goes in the F-Gas record.

Who can service air conditioning?

Anyone working on the refrigerant circuit must hold the relevant F-Gas qualification. Work that involves recovering or charging refrigerant is legally restricted to F-Gas certified engineers.
