CP12 Gas Safety Certificate Template

The CP12 landlord gas safety record has required fields set by law. Here is what it must contain — and the quickest way to issue one on site.

The CP12, or Landlord Gas Safety Record, is the document a landlord must have for every gas appliance and flue in a rented property, renewed every 12 months. Only a Gas Safe registered engineer can complete it, and it has defined required fields.

Because the content is prescribed, the practical way to produce one is a tool that follows the record's required fields and lets you issue a signed copy on site — not a plain downloadable form.

Complete the landlord gas safety record and issue a signed PDF on site.

What to include

  • Landlord (or agent) and property details
  • Details of each appliance and flue checked
  • The inspection results for each appliance
  • Any defects identified and remedial action taken
  • Safety checks: gas tightness, flue performance, ventilation, burner pressure/heat input
  • Whether each appliance is safe to use
  • Gas Safe engineer details, registration number and signature
  • The date of the check and the next due date

What the CP12 has to record

For each appliance the record must show the safety checks carried out — gas tightness, standing and working pressure or heat input, the flue and combustion performance, and adequate ventilation — and whether the appliance is safe to use.

Any defects and the action taken must be recorded, and the whole record is signed by the Gas Safe registered engineer who carried out the checks.

Issue a CP12 on site

TradePlanr's gas certificate tools follow the required fields of the landlord gas safety record, so you complete the checks, record the results and produce a signed PDF from your phone before you leave.

See the CP12 guide for what the record covers, then issue one from the certificate page.

Frequently asked questions

Who can issue a CP12?

Only a Gas Safe registered engineer can carry out the checks and issue a valid landlord gas safety record. The record shows their registration number and signature.

How often is a CP12 needed?

A landlord must have every gas appliance and flue checked, and the record renewed, every 12 months. A copy must be given to the tenant.

Can I use a blank CP12 template?

The record has legally required fields, so a compliant tool that captures them and produces a signed copy is far more reliable than a blank form — and lets you issue it on site.
